Web Client Status Profiles: A Guide To The Powerful ‘Presence’ Tool

Like every tool has a vital aspect, so does the 3CX web client status profile – the powerful ‘presence’ status that is at the core of 3CX functionality. What Is ‘Presence’ Status?

Wait, before heading to the core, let’s simply get to know what the term ‘presence’ status means in 3CX web client profiles. If you are a new 3CX user, take note of this. The presence statuses allow users to change the behavior/status of their account depending on the different times of the day or depending on a unique set status. Let’s make this simpler. Following is the list of presence statuses options that a user can choose from:

  • Available
  • Away
  • Do Not Disturb
  • Lunch
  • Business Trip

The last two presence status is customizable as per your preference but more on that later. The presence status helps users to be focused on their tasks without interruptions. E.g., to ensure that calls or chat messages do not bother you when you are trying to focus on a task, or having calls forwarded to a colleague within or outside the team, or when you are on annual leave.

Quicker Access From The Avatar Icon

3CX understands that changing your status on the fly is an important aspect. This is one of the major reasons why it is made super easy to set. Just by clicking on your avatar icon in the top left corner of the screen, you can simply juggle your status. With only 2 clicks, you can change the status of your choice. Not only is it easy but now you will also be able to opt to set your status temporarily for a fixed amount of time from this menu.

Presence Status Customization

Presence statutes not only offer complete flexibility to their users but also make sure that they can set up their profiles to best fit exactly what they need, no matter the type of organization they work for. The presence customizations are made available to –

  1. Customizable Status Messages – When you click on the avatar there is a pencil icon visible on each status line. By selecting this icon users can enter any text message (of up to 120 characters) and the same will be further displayed to all other users. This feature aims to ensure that your colleagues or other team members are aware of your availability in case they need to advise a customer looking for you.
  1. Customizable Profile Names – As mentioned earlier, the last 2 presence status names can be changed as per your desired preferences. Follow these steps – Settings -> Status ->  ‘Do Not Disturb’ or ‘Business Trip’ ->  ‘Custom Profile Name’. Also, in case of users wish to create a separate “push” profile, this feature could be of help.
  1. Flexible Call Routing – Setting a presence status on the 3CX web client profile is not just about making your visibility known to your colleagues. It is also a rather powerful way to redirect all calls to ensure that no customer calls go missed/unaddressed. By navigating to the status settings, users can easily decide what happens in the following circumstances:
  • What needs to be done with unanswered calls from internal or external sources?
  • Where exactly to route a call if a particular user’s extension shows busy/unavailable?
  1. Profile-Specific Options – What do you think of having your mobile and 3CX extension ring at the same time? In many instances, this has been helpful to users. How to set it? Well, it is simple –  While you set up your status either to ‘Available’ or ‘Lunch’, tick the ‘Also ring my mobile’ box. Additionally, users can also allow multiple calls to be received on a single extension and choose if ‘push’ notifications should or shouldn’t be delivered.
  1. User-Specific Exceptions – All users can use the brilliant ‘flexible call routing’ feature to ensure that calls are routed properly. But what happens in case a VIP or a loved one calls? 3CX is prepared for such an instance. With the ‘Exceptions’ function, users can set up a dedicated behavior. Let’s make this simple to understand with an example – The CEO of the company calls a user who is set on ‘Do Not Disturb’ status. It wouldn’t be a good thing for him/her to go to voicemail. To avoid this, you can add the CEO’s phone number to the exemptions list and then choose how that call is handled.
  1. Status Scheduler – Working part-time or working with any combination of hours that are beyond the global office hours scope? Well, then the ‘status scheduler’ feature is the right tool for you. By setting up a personal status schedule, the users’ extensions will automatically change status depending on the time of day/ day of the week. Not just that but also multiple time slots per day and bulk ‘Add’ or ‘Clear’ options can also be added to make it easier.
  1. Easy Greeting Management – Setting up different statuses may have a knock-on effect that may not be initially noticed. For instance, if you set an ‘Away’ status, most likely your generic voicemail greeting may not be applicable. With the help of Web Client, users can not only record but also set up specific voicemail greetings depending upon the presence status. Navigate to ‘Settings’, then click on ‘Greetings’ (Re-recording a voicemail every time won’t be necessary) and you’ll be good to go
